An availability request does not constitute a confirmed booking. It means that your property is being considered for a particular production and Shoot Puglia is checking whether it is available and suitable before the client progresses its location selection.
We will provide the proposed shoot date(s), approximate crew size and client's budget via WhatsApp, together with any other relevant information available at that stage.
The budget quoted in an availability request is always the budget per shoot day, not the total budget for the full production.
An availability request does not place any obligation on the Location Owner to accept the production. If the dates, crew size or other requirements are not suitable for your property, you are free to decline.

Production companies and brands commonly consider locations from a number of different sources and do not provide ongoing updates on their internal selection process.
Shoot Puglia is therefore not able to provide ongoing updates following an availability request.
If you do not hear from us again regarding an enquiry, please assume that your property is not progressing for that production. If the client requests further information or wishes to move towards a booking, Shoot Puglia will of course contact you directly to discuss this in more detail.
There is no need to follow up for an update.

The budget provided by Shoot Puglia is the client's budget per shoot day. For a multi-day production, the quoted budget applies to each shoot day — it is not the total budget for the entire production.
For example, if a three-day production has a stated budget of €3,000, this means €3,000 per day, not €3,000 across the three days.
The stated budget represents the total amount available per day for the commercial hire of the property. The Location Owner should therefore take into account all normal costs associated with making the property available for the production, including post-shoot cleaning, Shoot Puglia's agreed commission, seasonal preparation such as opening a swimming pool, and any other normal property costs required for the shoot.
These costs should be taken into consideration before agreeing the budget and should not subsequently be added to the agreed location hire fee.
If a production makes a specific request that creates an exceptional additional cost for the Location Owner, this will be discussed and agreed separately before the booking.

The Client is responsible for damage caused in connection with the production and is required to carry a minimum of €3 million Public Liability insurance.
A refundable damage deposit may also be required as part of the booking, with the amount confirmed in writing for the particular production.
The damage deposit may be used towards smaller damage, excessive cleaning, rubbish removal or other applicable costs under the Location Hire Terms. The Client remains responsible for costs exceeding the amount of the damage deposit.
Any damage or other issue should be identified and documented during load-out/check-out wherever reasonably possible.

The Location Owner is responsible for maintaining appropriate insurance for the property, including public liability cover suitable for its use as a commercial shoot and production location.
If the property is ordinarily operated as a holiday rental or other commercial accommodation, existing insurance may already provide relevant cover, but the Location Owner should confirm this with their insurer.
Shoot Puglia may request evidence of relevant insurance cover.

The Location Hire Agreement is between the Client and the Location Owner. Shoot Puglia acts as the independent location consultant and intermediary and is not a party to the Location Hire Agreement.
The Client and Location Owner are therefore responsible for maintaining the insurance required for their respective roles in the booking.
Where Fiona from Shoot Puglia attends a production in a professional capacity, Shoot Puglia maintains its own relevant business/public liability insurance.

No. Commercial location hire provides the production with use of the agreed property or areas for the agreed shoot period. It does not include overnight accommodation or other private use of the property.
If a client wishes to use the property for accommodation, Shoot Puglia will raise this separately with the Location Owner and any accommodation arrangements and charges will be agreed in addition to the commercial location hire.

Yes. Shoot Puglia's agreed 20% commission applies to the location hire fee and to all additional charges arising from a Shoot Puglia-introduced client.
This includes additional services or facilities provided or arranged by the Location Owner in connection with the booking, such as accommodation, catering or other separately agreed services.
Any such services and charges should be discussed and agreed through Shoot Puglia.

Normal cleaning before and after a commercial shoot is considered part of the Location Owner's normal cost of making the property available and should be included within the agreed location hire fee.
A separate routine cleaning charge should therefore not normally be added to the commercial location rate.
If a production leaves the property requiring exceptional additional cleaning or rubbish removal beyond what would reasonably be expected following normal use, this should be identified and documented at load-out/check-out. Any applicable additional charge or deduction from the damage deposit will then be dealt with in accordance with the Location Hire Terms.

Photography created by Shoot Puglia for the Collection is produced exclusively for Shoot Puglia's location consultancy, marketing and client presentation purposes.
The full set of photographs is not made available to Location Owners. Location Owners will see only those images that Shoot Puglia chooses to publish publicly, for example on the Shoot Puglia website, Instagram or other Shoot Puglia marketing channels.
All photography remains the copyright of Shoot Puglia and may not be downloaded, copied, shared, reposted or otherwise used by the Location Owner, including images published on the Shoot Puglia website or social media.
This approach forms part of Shoot Puglia's wider protection of the Collection and helps us control how location imagery and identifying information are circulated publicly.

Crew size is provided as part of an availability request so that the Location Owner can decide whether the property is appropriate for that particular production.
Shoot Puglia will generally only approach a Location Owner where we believe the property could reasonably accommodate the proposed production. However, the final decision remains with the Location Owner.
If you do not feel comfortable accommodating the proposed crew size, simply let us know and we will not put the property forward for that production.

Shoot Puglia provides clients with the relevant access and parking information for each shortlisted location.
Where on-site parking is limited or unavailable, this is disclosed to the client. If the client chooses to proceed with the location with that knowledge, the production is responsible for arranging any necessary off-site parking or transport logistics.
The Location Owner is not expected to create additional parking that does not already exist.

The Location Owner is responsible for ensuring that the production can access the property promptly at the agreed start time and that an appropriate handover can take place.
The Owner may do this personally or appoint a suitable member of staff or representative.
Shoot Puglia's standard commercial shoot hours are 06:00–20:00 unless otherwise agreed for the particular booking. The production may wrap and complete load-out earlier.
Location Owners should take these hours into account when confirming availability, particularly where the property is also used for holiday accommodation, as commercial load-in/check-in and load-out/check-out times may differ significantly from normal guest changeover times.
Productions work to tightly scheduled shoot days, so punctual access at the agreed load-in/check-in time is essential.
At load-in/check-in, the production should have the opportunity to identify any relevant pre-existing damage or property issues.
At load-out/check-out, the Location Owner or their representative should inspect the property and identify and document any damage, excessive cleaning or other issues arising from the production.
For a multi-day booking, the Location Owner can agree the most practical access arrangement for the duration of the production, including whether a representative attends at the end of each day or whether keys/access are provided for the agreed hire period.

Commercial productions normally require uninterrupted working use of the property or agreed shoot areas during the contracted hire period. It is therefore not normally necessary or expected for the Location Owner or their representative to remain on site throughout the production.
It is the Location Owner's responsibility to inform Shoot Puglia in advance of any permanent staff, residents, animals or other people who will remain at the property during a production. This information should be provided to Shoot Puglia before the property is presented or shortlisted, so that the client has full transparency when considering the location.
Where there is a genuine operational reason for the Location Owner or another person to remain on site during the production, this must also be disclosed to Shoot Puglia at the outset.

Yes. The Location Owner may appoint an appropriate employee, property manager, caretaker, agent or other representative to facilitate load-in/check-in, property handover and load-out/check-out.
The representative acts on behalf of the Location Owner and should be familiar with the property and able to deal with normal property-related matters that may arise.
The Location Owner remains responsible for the conduct of their appointed representative and for ensuring that they comply with the Location Owner's obligations to Shoot Puglia, including confidentiality and the protection of Shoot Puglia-introduced client relationships.
A Location Owner's appointed representative's role at a Shoot Puglia production/location is strictly operational and limited to representing the Location Owner in connection with the property and the booking. It does not provide an opportunity to promote or market any property, service or other commercial opportunity to a Shoot Puglia-introduced client, production company or crew, or to seek to establish an independent commercial relationship with them.

Where diary and logistics allow, Fiona from Shoot Puglia may attend as the production arrives to welcome the crew and help ensure that the start of the shoot runs smoothly.
Shoot Puglia does not routinely remain on site throughout the production.
Where requested or operationally appropriate, dedicated on-site location management may be arranged separately, subject to availability. This is a separate professional service and is charged at an additional day rate.
